Shanta Physio’s Privacy Policy

Purpose

At Shanta Physio, we are committed to protecting the privacy and security of your personal and health information. This Privacy Policy outlines how we collect, use, store, and disclose your information, consistent with the Aotearoa New Zealand Physiotherapy Code of Ethics and Professional Conduct ("the Code") and the Privacy Act 2020 ("the Act"). Our practices are founded on ethical values and professional principles, including respect, dignity, respect for autonomy, beneficence, non-maleficence, and trustworthiness.

What We Collect & Why

We collect details such as your name, contact information, date of birth, medical history, and treatment notes—mainly from you during consultations. Sometimes we use secure voice recognition software to assist with clinical note-taking. This is done in accordance with privacy and confidentiality policies. This information is used to provide safe, effective care, plan your treatment, and meet legal requirements.

We collect personal information about you for lawful purposes directly connected with providing physiotherapy services and promoting your health and wellbeing.

How We Use & Share Information

We do not sell, publish or give away any customer contact information or personal details of any kind to other parties.

Your information is used only for your care, clinic administration, or approved quality improvement. We may share it with other health professionals involved in your treatment, or as required by law (e.g., to prevent serious harm). If it needs to be sent overseas, we will obtain your informed consent and make sure it’s protected to New Zealand standards.

Security & Retention

Health related information that we collect for the purpose of treating clients is stored securely in specialized software and may include details on specific injuries or treatments. We store all records securely, restrict access to authorized staff, and keep information only as long as necessary before securely destroying or de-identifying it.

Awareness & Consent

We will seek your consent prior to providing physiotherapy services, ensuring your consent is freely given and appropriately documented. Before collecting information from you, we will take reasonable steps to ensure you are aware of the fact your information is being collected and the purpose behind it.
